7 Cold Email Tips I Wish I Knew Earlier

The number one reason why most businesses fail with cold email is simply because they don’t know how to do it properly. In today’s deep dive, I’m sharing seven cold email tips that I wish I knew when I was starting out. These tips would have made my life a thousand times easier and will help you book more meetings with cold email. Let’s get right into it.

Tip #1: Personalization

Personalization is the key to getting more responses. Address your leads by their name and tailor the email specifically to their business. Mention the industry they’re in, relevant keywords, or even the company name as a variable. Make your offer relevant to your client’s needs. For instance, if you’re targeting e-commerce brands, offer them email marketing services since it’s a common need. Use tools like Clay to scale your personalization efforts.

Tip #2: Subject Lines

Subject lines are crucial because if they aren’t good, no one will open your emails. Your subject line should be relevant and trigger curiosity. Aim for it to look like an internal email, something an employee might send. Keep it under three words and include the recipient’s first name or company name. Great examples include “Quick question, [First Name],” “Thoughts?,” or “Ads? [First Name].” Constantly AB test these until you find the best performers.

Tip #3: Email Copy

Your email copy needs to convert prospects into booked meetings. The most important part is your offer. Make it a no-brainer that they’d feel stupid saying no to. Include a clear call to action but avoid the oversaturated “book a call” approach. Instead, use a permission-based call to action like asking if you can send them a case study or offer some free work.

When writing your email, ensure it sounds natural. Avoid fancy names for your methods; keep it simple and understandable, even for a fifth-grader. Remove any fluff and make each sentence its own paragraph for easy reading, especially on mobile. Aim for 50-75 words max, and use the same language as your target market. AB test your copy to find what works best.

Tip #4: Warm-Up Emails

Warming up your email accounts is essential for good deliverability. Use tools like Smartlead’s built-in warm-up feature. Warm up for at least 14 days before launching any campaign, sending 30-40 emails daily with a 60% reply rate. After launching, keep the warm-up running 24/7 with 15-20 emails and an 80% reply rate to maintain deliverability.

Tip #5: Follow-Ups

Most people won’t respond to your initial email, so follow-ups are crucial. Follow up one to two times after the initial email if there’s no response, with a delay of 4-5 days. Make sure these follow-ups bump the original email and add value, like a case study or social proof. For those who have already replied, follow up within 1-2 days until you get a definitive yes or no.

Tip #6: Track Your Data

Tracking your cold email data is vital to understanding what’s working. However, avoid tracking open rates or click-through rates, as these can hurt your deliverability. Instead, focus on reply rates, positive reply rates, meeting booked rates, show rates, and close rates. Key KPIs include the email-to-lead rate, lead-to-booking rate, and close rate. This tracking helps identify bottlenecks in your system.

Tip #7: Social Proof

Social proof is essential for building trust. Mention well-known clients, testimonials, case studies, and specific results in your initial emails and follow-ups. Avoid vague metrics like pipeline value; focus on tangible results like revenue generated. Name your clients to add credibility. Additionally, optimize your online presence with an updated website, social media profiles, and a video sales letter. This ensures prospects who research you after receiving an email see you as credible and trustworthy.
