These are automated emails used to warm up your account, ensuring better deliverability. However, they can flood your inbox, making it difficult to spot genuine replies. This guide will walk you through setting up filters to automatically archive and mark these warm-up emails as read, keeping your inbox clean and focused on real leads.

Step 1: Identifying the Warm-Up Tag

First, identify the tag associated with your warm-up emails in Smartlead. This tag will be used to filter out the warm-up emails. To find your tag, go to the "Warmup" section under "Email Accounts" in Smartlead. Scroll down to see the specific tag used for your warm-up emails. For instance, let’s assume the tag is "taste dress."

Step 2: Setting Up Filters in Outlook

If you’re using Outlook, follow these steps:

  1. Open Settings: Click on the settings icon at the top of your Outlook interface.

  2. Create a New Rule: Navigate to "Rules" and click on "Add New Rule."

  3. Define the Rule:

    • Name your rule, for example, "Smartlead Warmup Filter."

    • Condition: Set the condition to "Message body contains" and enter the warm-up tag (e.g., "taste dress").

    • Actions:

      • First action: Mark the email as read.

      • Second action: Move the email to the Archive.

  4. Save the Rule: Click "Save" to activate the rule.

Now, any incoming warm-up email will be marked as read and moved to the archive, keeping your inbox clean.

For existing warm-up emails in your inbox:

  1. Search for Warm-Up Tag: Enter the warm-up tag in the search bar.

  2. Select All Emails: Select all emails that match the search.

  3. Mark as Read and Archive: Right-click to mark them as read and move them to the archive.

Step 3: Setting Up Filters in Gmail

If you’re using Gmail, the process is slightly different:

  1. Open Settings: Click on the gear icon and select "See all settings."

  2. Create a Filter: Go to the "Filters and Blocked Addresses" tab and click on "Create a new filter."

  3. Define the Filter:

    • Has the words: Enter the warm-up tag (e.g., "about teeth").

  4. Apply Filter Actions:

    • Skip the Inbox (Archive it).

    • Mark as read.

    • Apply the label "Smartlead Warmup."

    • Never send it to Spam.

  5. Create Filter: Click on "Create filter" to finalize the setup.

For existing warm-up emails:

  1. Search for Warm-Up Tag: Enter the tag in the Gmail search bar.

  2. Select All Conversations: Click "Select all conversations that match this search."

  3. Label and Archive: Apply the "Smartlead Warmup" label and then move them to the archive.
