Actionable Tip Of The Day

Speed to lead is the #1 metric you should be tracking when it comes to appointment setting from cold email.

The best way to make sure you are replying to leads < 5 minutes is if you set up notifications on your phone so that you know when someone replies.

Set this up or you will never reach that under 5 minute goal.

Deep Dive

Efficiently managing cold email replies is crucial for booking more sales calls and maximizing your campaign’s success. In this guide, I’ll walk you through setting up cold email reply notifications using Smart Lead, webhooks, and no-code tools like Zapier and Make. Speed to lead is essential, and getting notifications directly to your phone can help you respond promptly. Let’s dive into the process.

Step 1: Setting Up Webhooks in Smart Lead

  1. Navigate to Settings: In your Smart Lead dashboard, go to the settings menu.

  2. Add a Webhook: Click on "Add Webhook."

  3. Name Your Webhook: For this example, we’ll name it "Cold Email Replies."

  4. Webhook URL: Here, you’ll input the URL from your chosen tool (Make or Zapier).

Step 2: Using Make.com

  1. Create a Scenario in Make.com: Set up a new scenario and choose "Webhooks" as your trigger.

  2. Add a Custom Webhook: Create a new custom webhook, name it (e.g., "Cold Email Reply"), and save it.

  3. Copy the Webhook URL: Copy the webhook URL provided by Make.com.

  4. Input the URL in Smart Lead: Paste the copied URL into the webhook URL field in Smart Lead.

  5. Set Event Type: Choose "Email Reply" as the event type.

  6. Test the Webhook: Run the module in Make.com and send a test from Smart Lead to ensure it’s working.

Step 3: Integrating with Google Sheets

  1. Add Google Sheets Module in Make.com: Select "Add Row" in Google Sheets.

  2. Connect Your Google Drive: Choose the spreadsheet where you want to log the replies.

  3. Map the Data: Map the necessary fields (lead name, lead email, sequence number, sent time, reply time, and reply message) from Smart Lead to your Google Sheet columns.

  4. Run the Scenario: Test the setup by running the scenario and checking if the data is correctly logged in your Google Sheet.

Step 4: Integrating with Slack

  1. Add Slack Module in Make.com: Select "Create a Message" in Slack.

  2. Choose Your Channel: Pick the Slack channel where you want to receive notifications.

  3. Compose the Message: Craft a message including lead name, email, and a direct URL to the conversation. Example:

New reply received:

Name: [Lead Name]

Email: [Lead Email]

[Direct URL]

  1. Copy code

New reply received: Name: [Lead Name] Email: [Lead Email] [Direct URL]

  2. Run the Scenario: Test to ensure the message appears in your Slack channel.

Step 5: Using Zapier for Automation

  1. Create a Zap in Zapier: Set up a new Zap with "Webhooks by Zapier" as the trigger.

  2. Catch Hook: Choose "Catch Hook" and copy the provided webhook URL.

  3. Input the URL in Smart Lead: Replace the previous URL with Zapier’s webhook URL in Smart Lead.

  4. Test the Webhook: Send a test from Smart Lead to verify Zapier catches the hook.

  5. Integrate with Google Sheets: Add an action to create a new row in Google Sheets, mapping the same fields as before.

  6. Integrate with Slack: Add an action to send a message in Slack with the same notification details.

Final Steps: Publish and Monitor

  1. Publish the Scenario in Make.com: Ensure the scenario is active and running.

  2. Publish the Zap in Zapier: Turn on the Zap to start receiving notifications.

  3. Verify Notifications: Test both setups by sending a few test replies and checking the logs in Google Sheets and notifications in Slack.

Conclusion

By setting up these automated notifications, you’ll ensure that you never miss a reply, enabling you to respond promptly and book more sales calls. Using Smart Lead in conjunction with Make.com or Zapier streamlines the process, making your cold email campaigns more efficient and effective. Happy emailing!
